I was in the same situation before. There are two main points that are missing from my previous comment. Most has nothing to do with tools.

  1. Design sharing facilitation
    I don’t want copywriters or Sales walking into my design files.”
    For the designer who will be facilitating the design sharing/sign-off session, he/she should set some guidelines for other team members when viewing the design. Here are some general rules that we are currently using:
    - Only invite core stakeholders (who will be admin and who will be viewers in Figma?) Yes, I agree not to let random people viewing the files!
    - Guide the session. “For this round, we will only be signing off the copy, ignore the UIs”. Make it clear what we should be focusing on.
    - Set the rules for giving comments/suggestions. In written format, not just verbally.
    - Educate non-designers on how to give proper feedback, it’s out job too!
    - Identify good feedback/comments. And also ignore bad ones. Designers should be able to identify them to avoid unnecessary stress.
  2. Product Planning Process
    “When we used Figma for commenting or collaboration it became very overwhelming.”
    As for now, we did not face such scenario. My assumption is that maybe we have a tight sprint planning laid out right from the beginning (aka Sprint Zero). All team members agreed when we should do design sign offs, when we should run Design Sprints etc. You get the idea. This helps us to control the non-design team members from making back-and-forth changes unless there are some really crucial part that the team missed out. Again, set the guidelines. Yes, the Figma file is open for all to view, but we should be mindful of the timeline too and stick to the sprint planning as close as possible.

Why I mentioned Sales peeps in my comment? For Saas B2B product: Sales, Customer Success and Marketing are important stakeholders because they are the one that pitch, sell to potential enterprise customers. Their opinions are valuable too, we do not want to silo them out in the process. Now, they don’t have to jump into Zeplin to look for the screens, it’s all right here in Figma, in one place, one url :)

Hope these clarify the reason why we stick with Figma for product collaboration part.
